Industry: ManufacturingJob Responsibilities:
- Helps to keep the C-level executive organized and productive whether on work or personal tasks like family events, bookings, etc.
- Familiar with the key personnel (both external and internal) and understand the organization's aims and objectives.
- Works closely with senior managerial or directorial staff, usually on a one-to-one basis, to make the best use of their time.
- Screens and deals with telephone calls, inquiries, emails, and requests related to the C-level executive and handles them when appropriate.
- Takes dictation and minutes, providing timely and updated reports.
- Maintains records and provides feedback on the status of all related matters regarding marketing, sales targets, and project completion.
- Carries out specific projects and research for marketing issues if needed.
- Organizes and maintains diaries, meetings, and appointments; likewise, attends meetings, ensuring that concerned individuals are well-prepared; secures the location for the meeting, such as a conference room or the specified "location"; and produces/prepares presentations and any materials or documents needed for the meeting.
- Fully manages customer events/invitations, VIP guests, and company events, both internal and external, like Gulf Host.
- Liaises with the Swiss Marketing Organization, clients, suppliers, and other staff.
- Deputizes for the manager, makes decisions, and delegates work to others in the C-level executive's absence if necessary.
- Organizes the C-level executive's business trip from A to Z, coordinating with different embassies/consulates for visa purposes and all requirements, arranging travel and accommodation, and occasionally traveling along with the C-level executive to provide general assistance if needed.
- Creates or contributes to social media content for UAE/Group Website.
- Takes photos and descriptions of installations/projects.
- Most importantly, maintains confidentiality.
- College / B.A. Degree Holder, diploma in Administration / Management
- Minimum of 3 years' experience reporting to C-level executives
- Possesses excellent organizational & communication skills
- Experienced in Marketing / Digital Marketing
- Excellent skills on MS Office - Excel, Outlook & PowerPoint
- Be articulate, confident, a problem solver and above all diplomatic.
- Very good command in English and French language (able to speak / write / read). An applicant who can speak German is an advantage.
