Position Summary:UAE nationals are encouraged to applyNew York University Abu Dhabi (NYUAD) seeks to appoint a Academic Recruitment Associate reporting to the Assistant Director, Academic Recruitment.The Academic Recruitment Associate in the Office of Academic Appointments provides vital administrative and project coordination support for the recruitment of faculty and academic staff across NYU Abu Dhabi's academic divisions, Library, SM SP/SA, and academic hiring units. Reporting to the Assistant Director, this role also coordinates closely with other members of the Academic Recruitment team and appropriately escalates inquiries or issues to functional specialists. Supports interactions with stakeholders, including candidates and search committees, by managing essential administrative tasks such as scheduling, maintaining recruitment records, and assisting in the generation of reports. The ideal candidate will be a highly motivated and organized professional adept at handling administrative duties and individual projects with meticulous attention to detail, strong communication skills, and the ability to thrive in a fast-paced environment.Key Responsibilities:Assist in Faculty Recruitment Cycle
Collaborate with committee chairs, NYUAD deans, and leadership to support various stages of the faculty recruitment process. This includes helping to create job descriptions via interfolio and external advertising postings, ensuring all documentation is complete, and supporting the candidate screening process
Assist in scheduling and attending recruitment-related meetings, providing administrative support during committee reviews, and helping with the closing process, including ensuring that security clearance steps are initiated and that offers are rendered as agreed
Support the management of faculty recruitment advertisements and serve as a point of contact for faculty candidates
Coordinate logistics for both in-person and virtual interviews, ensuring that job talks are recorded for review by committee members unable to attend in person
Maintain effective communication between NYUNY and NYUAD
Support Ad-hoc Projects and Tasks
Provide assistance with various ad-hoc projects and administrative tasks as needed, including but not limited to Vendor and Procurement Process. Coordinate payments for suppliers and external agencies, ensuring compliance with procurement procedures and maintaining accurate records for financial tracking
Search Committee Letters: draft and process search committee letters and ensure they are accurately encoded and saved in the Interfolio – Faculty 180 system for record-keeping and compliance
NYU School Letters: draft and process NYU school letters, ensuring all documentation is properly handled and distributed to the appropriate parties
Search Committee and NYU School Payments: support the processing of stipends and payments related to search committee and NYU school, ensuring timely and accurate execution of payments
Update Faculty Search Interfolio Templates: update and maintain Interfolio templates, including approval flow templates, ensuring they reflect the most current processes
General Ad-hoc Support: provide flexible support for additional projects and tasks that may arise, contributing to the overall effectiveness and efficiency of the Academic Recruitment team
Support Recruitment Databases and Reporting
Assist in maintaining recruitment databases for open faculty positions, ensuring they are current and accurate. Support the preparation of academic recruitment reports and track the progress of recruitment efforts. Help in providing relevant updates and data to key stakeholders
Assist in managing the reimbursement process for candidate visits, keeping detailed records of costs, and ensuring that reimbursements are processed in a timely manner
Manage Communication and Candidate Engagement
Help manage the Academic Recruitment alias and candidate engagement portals. Respond to inquiries related to the recruitment process, demonstrating a clear understanding of the department’s activities, policies, and programs
Communicate with university personnel at various levels and interact with the public as the point of contact for faculty recruitment matters
Support the resolution of issues or concerns related to the recruitment process
Support Inclusion and Diversity Initiatives
Assist in supporting the University's commitment to building a culture of Inclusion, Diversity, Belonging, Equity, and Innovation
Help with initiatives aimed at enhancing the recruitment process, ensuring a diverse and inclusive approach to faculty hiring
Coordinate with the Office of Inclusion and Equity to facilitate Best Practices Workshops schedules
Qualifications:Required Education:
Bachelor's Degree or equivalent in a related field
Required Experience:
1+ years Administrative or recruitment experience
Good organizational and problem-solving skills. Computer/technology proficiency including Microsoft Office applications, applicant tracking tools including lnterfolio, HRIS, internet research tools, etcProven results in managing high-quality, high-volume work, preferably from higher education or related sectorsDemonstrated success in working in an evolving, fast-paced, and ambiguous environment, strategy planning, project management and problem-solving skillsCustomer focused and process oriented.
