  • Provide comprehensive administrative support to Stern at NYUAD leadership, including preparation of correspondence, records, and documentation
  • Manage calendars and schedules for senior leaders to ensure effective time management and meeting coordination
  • Arrange travel, meetings, and event logistics, including venue booking, A-V support, and catering
  • Coordinate meetings, video conferences, and prepare supporting materials
  • Maintain electronic and physical filing and document management systems
  • Act as a liaison between Stern at NYUAD, other NYU offices, and external stakeholders in Abu Dhabi and New York
  • Handle inquiries, requests for information, and resolve routine and non-routine administrative issues
  • Support departmental projects, monitor progress, and prepare reports for senior leadership
  • Manage office operations, procedures, and administrative systems to improve efficiency
  • Monitor departmental budgets, track expenses, process reimbursements, and reconcile invoices
  • Support procurement, purchasing, and payment processes
  • Assist with planning and execution of on-campus and off-campus events, including promotional materials and vendor coordination
  • Support maintenance of career platforms, including creating job postings, generating reports, and ensuring data accuracy
  • Perform general clerical and executive assistant duties as assigned
Ideal Profile
  • Bachelor's degree
  • Minimum of two years of experience in an administrative or executive support role
  • Excellent written and verbal communication skills in English
  • Strong organizational skills with the ability to manage multiple priorities and tight deadlines
  • High level of professionalism, discretion, and sound judgment
  • Ability to work effectively within a complex, multinational academic environment
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and database tools
