  • Identify the facility and collateral documentation requirements based on Credit Approvals.
  • Prepare facility and collateral documents in line with the bank policies, procedures, and standards.
  • Ensure that all required documents (facility, collateral, and source) have been obtained in line with the credit approval.
  • Ensure that all Credit facility documents are perfected and are in order in line with bank's Policies & Procedures.
  • Ensure physical safe custody and digital filling of the perfected documents.
  • Carryout annual review of documents and monitor the exceptions in documentation.
  • Carryout special assignments assigned from time to time for system and process enhancements.
  • Prepare / Generate monitoring & control reports pertaining to collaterals and documentation process workflows.
KEY RESULT AREAS:
  • Analyze credit approval from documentation control perspective and identify purpose of the approval, required facility and collateral documentation, verify that credit approvals are approved in line with the Bank's policies and guidelines.
  • Prepare appropriate credit facility and collateral documents incorporating all relevant terms and conditions stipulated in the Credit Approval.
  • Co-ordinate with various Business Units, Risk Management and Legal team to finalize Credit Facility and Security Agreements as and when required.
  • Ensure that documents mentioned in the lodgment list being received.
  • Review all the documents related to approved facilities and ensure that all are in order as per bank's policies , procedures & guidelines.
  • Update documentation checklist to ensure that all the necessary documents have been obtained for the approved facility/ies.
  • Ensure that all discrepancies have been identified and escalated to the appropriate level of authorities for resolution.
  • Liaise with in-house legal team to verify the authenticity of signatories of borrowing entities and guarantors whenever necessary.
  • Ensure that all physical documents are being lodged and digitally filed.
  • Ensure that expiry dates, deferrals and any other exceptions are updated accurately in the relevant bank's systems (MIS) for monitoring purposes and escalate to higher level of authority in line with the agreed procedures.
  • Provide documentation clearance to Credit Control Unit to release limits in the core system upon satisfying that all documents have been obtained and are in order.
  • Periodically review borrowing documents physically held under custody to identify any discrepancy or housekeeping purposes.
  • Support the implementation of process reengineering and digitization initiatives of the division.
  • Ensure updating all related databases and monitoring tools maintains at unit on timely manner.
  • Maintain satisfactory working relationship with our partners in Business, Technology and Operations.
  • Ensure adherence to agreed TAT's.
  • Accurately translate non-standard facility conditions to Arabic language.
  • Report any irregularities in a timely manner.
  • Perform User Acceptance Testing on assigned system enhancement projects related to documentation.
  • Ensure “Zero” operational losses.
  • Ensure Unit's RCSA is up to date.
KNOWLEDGE, SKILLS AND EXPERIENCE:
  • Graduate with a Minimum of 6 years of experience in General Banking covering at least 5 years in credit Documentation related activities.
  • Strong knowledge on various banking products & services and its operational procedures.
  • Technology oriented.
  • Excellent communication (both oral and written) and interpersonal skills.
Responsibilities:
  • Perform as a checker for all documentation unit activities.
  • Responsible to manage the resources available for accomplishment of various tasks in the department effectively and efficiently.
  • Plan, develop and execute the related improvements in the assigned areas, coordinate and allocate resources with regards to special projects as and when warranted.
  • Review the current process and initiate for further improvement, if requires, via automation
  • Ensure that all terms and conditions stipulated in the Credit approval have been duly complied with and incorporated in the relevant Facility Agreements.
  • Ensure that all securities / insurance policies have been obtained prior to releasing limits. If not, obtain specific waiver / deferral as mentioned in the Policy & Procedure manuals and monitor for resolution effectively
  • Ensure that all documents are checked/reviewed and the Documentation Checklist have been signed-off/verified prior to release the limit.
  • To sign-off as authorized signatory on facility agreements whilst ensuring that all terms and conditions and commitment are properly reflected in the document.
  • Ensure that annual documentation review is done in time. Also whenever accounts are downgraded existing documentation are reviewed by the legal immediately.
  • Ensure that all exceptions related to documentation have been captured in internal MIS and monitor until the resolution
  • Ensure that MBO and KPI of staff members are done in time in order to achieve the corporate objectives.
  • Monitor & ensure perfection of pledge, lien and mortgage of customer assets and to ensure periodic valuation of such assets.
  • Extend proper advice and assistance to the staff in the department on documentation issues and coordinate with Legal Dept. on legal issues if required.
  • Validation translated customized facility conditions to Arabic language (Applicable to Arabic speaking employees).
  • Ensure that job rotation and back-up plan is in place which is essential to enhance staff moral & motivation
  • Ensure that effective & accurate control is in place on Safe-keeping of documents.
  • Ensure to maintain audit rating as Satisfactory.
  • Ensure that RCSA is up to date and testing is duly completed as per guidelines.
  • Ensure proper and timely implementation of recommendations of Credit Review/ Audit Department and address and deficiencies brought out in the audit process to remedy matters and follow-up till regularization.
  • Develop skills to perform as back-up of Bsiness Partner, Credit Administration.
Qualifications:
  • Graduate with good knowledge on banking products and the implication of risks relating thereto with a proactive approach to problem solving.
  • Thorough understanding of UAE & GCC company laws and a fair acquaintance with the legal issues attaching to commercial lending.
  • 10 - 12 years of banking experience 5 - 6 years' experience in the area of Commercial, Loan Documentation, Syndication and Credit Administration.
  • Good understanding of technological issues with sound analytical ability and PC skills.
  • Effective Communications and interpersonal skills.
