Job Category: AdministrativeJob Description:In partnership with Abu Dhabi Judicial Department (“ADJD”), ADGM Courts (the “Court”) offer a notary public service for all ADGM registered entities, their clients and staff; ADGM and its staff; and for parties outside ADGM for selected services. The Notary Public is accredited, authorised and licensed by the ADJD to attest, notarise and authenticate documents and to practise all functions under Law No. (11) of 2017 concerning the Notary Public in the Emirate of Abu Dhabi.Operational responsibilities
  • Analyse all documents submitted via the ADGM eCourts Platform for notarisation by clients and determine whether the documents are in order for notarisation.
  • Review all legislation and other authorities, including court orders, to confirm that the documents to be notarised comply with the relevant legislation and authorities (if required).
  • Communicate with clients and/or their legal representatives:
  • in regard to any deficiencies in the documents to ensure the documents comply with all notarisation requirements; and
  • to address any enquiry on any aspect of the notarisation process.
  • Conduct the notarisation virtually or in person via the ADJD notary public e-portal with the authorised signatories of the documents to:
  • verify the authorised signatories' identity and their capacity to sign the documents; and
  • review the document(s) with them to ensure they understand the contents of the document(s), the potential ramifications of the document(s); and their rights.
  • Respond in a timely manner to all notary public enquiries either via email or telephone.
  • Propose initiatives and engage in different projects within ADGM and/ or in partnership with the ADJD aimed at enhancing and expanding the notary public services.
  • Liaise with the ADGM Registration Authority (RA) in relation to the notary pack service which requires RA to certify supporting documents and provide letters to clients to be submitted to the Notary Public.
  • Build a good relationship and be client focussed in order to deliver outstanding notary public services to enhance the reputation of the Court and ADGM and to increase revenue.
  • Adhere to ADJD Notary Public Department circulars and directives in relation to notarisation; the authentication of signatures; recording proof of authentication; and provision of certification.
  • Maintain a register of notary requests, keep records of transactions and files of all original and copy documents.
  • Engage in continuing professional development and training in notary public and ancillary areas which are relevant for the role.
Information Security related
  • Understand, adopt, adhere to and practice responsibilities or controls as per the ADGM Information Security policy and in accordance with best practices explained in the induction and awareness sessions.
  • Ensure confidentiality, integrity and availability of the ADGM Information shall be maintained at all times i.e. within as well as outside ADGM.
Qualifications:
  • Degree in Law.
  • Working knowledge of notary public policies and rules.
  • Excellent IT skills and proficient with all Microsoft applications.
  • Strong negotiation, conciliation and problem-solving skills.
  • Strong communication skills.
  • Excellent time management, planning and organisational skills.
  • Demonstrated relationship building and stakeholder management skills.
  • Capable of working under time and client demand deadlines.
  • Fluent in written and spoken business English and Arabic.
Experience:
  • Experience - 3-5 years of PQE with some experience working with legal commercial documents and entities.
