Job DescriptionA private office is seeking a Russian-speaking Personal Assistant to provide high-level administrative, organisational, and lifestyle support. This is a diverse role covering both business and personal matters, requiring discretion, flexibility, and the ability to manage multiple priorities with professionalism.Key ResponsibilitiesBusiness Support
  • Manage complex calendars and schedules, ensuring meetings, calls, and negotiations are well-prepared and coordinated.
  • Arrange international and regional travel, including flights, hotels, and transfers.
  • Act as the first point of contact for external enquiries.
  • Prepare, process, and reconcile business expenses and reports.
  • Coordinate document workflows and ensure timely completion of approvals and signatures.
  • Support meeting logistics, including venues, catering, and access arrangements.
Personal & Family Support
  • Maintain detailed calendars for personal, family, and travel schedules.
  • Prepare and manage personal expense reports, school-related payments, and household accounts.
  • Oversee renewals and documentation such as visas, tenancy agreements, insurance policies, and vehicle registrations.
  • Liaise with schools, tutors, and extracurricular service providers.
  • Coordinate household staff and external contractors; manage household logistics and suppliers.
  • Organise family events, celebrations, holidays, and social activities.
  • Arrange services, deliveries, and bookings across a wide range of personal needs.
Requirements
  • Fluent in Russian and English (written and spoken).
  • Currently residing in the UAE, with the ability to work office-based and commute daily.
  • Minimum 3 years' experience in a Personal Assistant or similar role, with proven ability to manage complex and varied responsibilities.
  • Highly organised, proactive, and capable of prioritising effectively in a fast-paced environment.
  • Strong problem-solving skills with the ability to anticipate needs and resolve issues quickly.
  • Excellent written and verbal communication skills, with a professional and solution-focused approach.
  • Absolute discretion and integrity when handling confidential information.
  • Advanced knowledge of MS Office, Google Workspace, Outlook, and other communication tools.
  • Experience managing both business and personal matters for senior executives or private offices.
  • Ability to work extended or irregular hours when required, remaining contactable outside of office hours.
Compensation & Conditions
  • Salary: AED 8,000 during 3 month probation, increasing to AED 10,000 after successful completion.
  • Office-based, full-time role, Monday to Friday (09:00-18:00).
  • Paid leave provided in line with family vacation schedules.
