- Provide administrative support and coordination to the SI department.
- Devising and maintaining office systems, including data management and filing.
- Engage with relevant parties to arrange travel, visas and accommodation for freelance / full-time labour.
- Dealing with incoming emails, calls corresponding on behalf of the SI team.
- Carrying out background research and presenting findings.
- Producing documents, briefing papers, reports and presentations.
- Assisting and preparing response to RFP's.
- Creating PO's and submitting them to suppliers.
- Working with suppliers, managing updating suppliers pricing.
- Document control – managing - uploading documenters to client portholes / web servers.
- Managing crew schedules / labour costs (per-project basis).
- Organising and attending meetings with project teams, keeping notes / to-do lists for project managers to follow up.
- Carrying out specific projects and research on suppliers / clients.
- Assisting with project related P&L’s.
- Making decisions and delegating work to others in the manager’s absence.
- Being involved in decision-making processes.
- Preparing and responding to PQQ.
- Supporting projects teams on/off site.
- Implement and supervise Standard Operating Procedures (SOPs).
- Attend company and departmental meetings as required.
- Deputise for other team members as necessary
- Support the other CTME teams in collating documentation/data for bidding and marketing.
- Maintain a freelance database of additional personnel.
- Record keeping and general administrative duties as required.
- Author and undertake training for company personnel and clients.
- Experience of research and presentation skills.
- Excellent communication and interpersonal skills. Communicates in a positive and inclusive manner always demonstrating respect towards others regardless of job level.
- Structured, Methodical working practices.
- Strong attention to detail, data management and quality of work.
- Fluent in English, written & spoken.
- Flexible to work based on the requirements of the live event industry.
- Willingness to work independently and unsupervised or in a collaborative manner as part of a team.
- Willingness to share knowledge and expertise amongst the team and other members of staff.
- Able to deputise and/or provide coverage when requested.
- Good understanding and applicability of H&S requirements and practices.
- Participate in training as directed.
- Willing to work outside of the UAE on projects in the GCC and beyond.
