- Schedule Admin Projects meeting, coordinate and prepare MOM, progress reports and presentations. Process all CAPEX related transactions in the system (SAP).
- Arrange all Admin meetings and prepare MOM.
- Coordinate and fulfil all requirements for Shared Service Projects.
- Comply with relevant HSE policies, procedures & controls and applicable legislation and sustainability guidelines in line with international standards, best practices, and Company Code of Practices.
- Maintain and monitor services provided through Service Contracts, and provide the feedback to Procurement Unit (Housekeeping, indoor plant maintenance, etc.)
- Ensure the implementation and compliance with contractual obligations related to administration unit. Follow up with contractor and provide necessary guidance and control as necessary.
- Ensure provision of quality general services in a cost effective and timely manner through effectively managing mail, facilities, security, archiving, reception, drivers, and other administration activities.
- Maintain the fixed assets policy of the company, supervise implementation, and ensure proper recording, movement, and disposal of assets.
- Ensure that staff are provided with necessary tools and facilities for proper execution of their duties.
- Ensure effective utilization and consumption of these resources.
- Oversee and ensure the provision of office furniture/equipment & supplies on a timely manner.
- Coordinate and collaborate with all Admin staff for daily tasks prepare the report for Administration Manager.
- Minimum 2 years’ experience in same field
- Proficient in MS OFFICE, SAP
- Excellent Business written and verbal Communication (Arabic & English).
- High numerical skills and reporting capabilities
- Solid understanding Service level agreements.
- Knowledge in dispute resolution and mediation techniques
- Excellent skills in organizing projects and managing resources, internal and external.
