Job Category: AdministrationJob Description:To support the Patient Safety & Quality team in the day-to-day management and execution of safety and quality initiatives within the organization. This role involves monitoring and evaluating patient safety events, conducting data analysis, and assisting in the implementation of quality improvement projects. The Senior Executive works closely with PSQ Manager/Assistant Manager and healthcare teams to identify areas for improvement, track progress, and ensure adherence to safety protocols and regulatory requirements. By providing operational support and ensuring the effective execution of safety programs, the Patient Safety & Quality Senior Executive plays a key role in promoting a culture of safety, enhancing the quality of care, and ensuring positive patient outcomes.Responsibilities:
  • Performs highly responsible office functions; assists in arranging and coordinating department activities.
  • Establishes and maintains records, filing systems, and logs.
  • Reserves meeting sites; contacts and confirms appointments and meetings; attends meetings and takes minutes in the absence of the Patient Safety & Quality Executives.
  • Operates a computer, duplicating machine, fax machine, calculator, and other peripheral office equipment in the course of assigned functions.
  • Utilizes a variety of word-processing, graphic/presentation, and database software applications programs.
  • Types, edits, and distributes a variety of correspondence, forms, and policies and procedures.
  • Participates effectively in implementing and following up on PSQ improvement activities.
  • Communicates appropriate information from studies and data sources to the Heads of the Department.
  • Assists the HOD in maintaining all necessary records pertinent to the JCI process or any other relevant accreditation and regulatory requirement process.
  • Assists in facilitating relevant accreditation meetings.
  • Assists the HOD in maintaining records of policies, procedures, guidelines, forms, and other documents; ensures circulation of current documents and de-circulation of expired documents.
  • Performs miscellaneous related duties as requested by the HOD.
  • Is familiar with emergency and evacuation procedures.
  • Attends applicable OSH/Infection control training programs, mock drills, and awareness programs.
  • Develops, monitors, and supports implementation of the hospital/cluster OSHMS in line with DHA/MOH/MOHAP/DOH Health Sector OSHMS policies and standards (and other policies and standards as applicable) and entity requirements.
  • Notifies and optimizes the reporting of OSH hazards, other incidents, near misses, and issues; assists with preparation of risk assessments.
  • Coordinates the risk management program of the facility in coordination with all stakeholders.
  • Supports the development of objectives and monitors achievement of objectives and compliance with DHA/MOH/MOHAP/DOH Health Sector OSHMS requirements across all departments.
  • Reports and provides guidance to the entity OSH Committee, the Prevention and Control of Infection, and the CQPS Committee in developing programs and policies for implementing and monitoring applicable OSHMS, Infection Control, and Patient Safety standards.
  • Conducts or participates in incident and outbreak investigations as applicable.
  • Assists in relevant regulatory body KPIs, including but not limited to JAWDA KPIs, DHA KPIs, audits, accreditations, certifications, and report preparation.
  • Supports data collection throughout the hospital/cluster by assisting with data collection issues such as creating forms to collect data, identifying which data to collect, validating data, and creating reports.
  • Ensures data reported is validated and analyzed for implementing improvements and evaluating outcomes.
Qualifications:
  • · Graduate of a Secretarial Course or its equivalent
  • · Six months or more in healthcare set up
  • · Excellent command of oral and written English. Arabic language is desirable but not essential.
  • · Responsibility for own continued professional growth beyond minimum preparation.
  • · Strong data analysis and reporting skills with proficiency in advanced Excel tools or statistical software.
