The position underpins our governance and advisory structures by ensuring effective coordination of Boards and Committees, accurate record‑keeping, and timely information flow. In addition, the role provides administrative support to the Biobank Quality team, undertaking related duties as required. Responsibilities:
- Coordinate and schedule Board, Committee, and ad hoc meetings (in‑person and virtual), ensuring all logistical arrangements are in place.
- Liaise with Committee Chairs to obtain, collate, distribute, and securely store agendas, papers, and meeting documentation.
- Prepare and circulate agendas in advance, record attendance, and take accurate and comprehensive meeting minutes.
- Maintain a central database of Board and Committee member information, including appointments, reappointments, attendance, and key records.
- Track member terms, manage reappointment timelines, and maintain registers of external interests and governance records.
- Maintain and regularly share Board and Committee schedules, meeting updates, and periodic news digests.
- Update and maintain governance content on the website and intranet, ensuring accuracy and compliance.
- Provide administrative support to the Biobank Quality team and undertake related duties as required.
- Previous experience in an administrative or coordination role, preferably in a regulated or governance‑focused environment.
- Ability to make independent, pragmatic judgments and respond to requests in a timely and professional manner.
- Excellent written and verbal communication skills.
- Highly organized, detail‑oriented, and able to manage multiple priorities and deadlines effectively.
- Strong understanding of confidentiality requirements and handling sensitive information.
- High proficiency in Microsoft Office applications.
- Adaptable, proactive, and able to respond quickly to changing priorities and circumstances.
