JOB DESCRIPTION
Position Title: Officer – Order Execution
Reports to: Executive/ Specialist - Order Execution
Department: Sales & Order Execution
JOB PURPOSE
To Facilitate and coordinate the smooth execution of product sales orders from order
receipt in SAP to dispatch to customers, through the effective assembly and provision
of all information and documentation requirements as specified by the sales order and
as provided by the customer and all the related internal departments e.g. Sales,
Manufacturing and Logistics and the Sales Planner.
KEY ACCOUNTABILTIES
Policies, Processes and Procedures
- Implement all section policies, processes and procedures
- Implement the section budgets and work plans
- Participate in initiatives for innovation and Continuous Improvement in pursuit
Reports
- Provide inputs for the preparation of accurate and timely performance reports,
Sales Execution
- Ensure that all Sales orders are processed timely and accurately and all
- To log the order based on the items provided by order development team
- Create outbound delivery transactions in SAP in line with the sales order
- To ensure that all order characteristics in SAP-SD module are entered
- Fulfill the outbound delivery document in liaison with Manufacturing,
Operations
- Post the Goods issue transaction for the shipment/delivery completed
- Create invoices for all deliveries made to the customer in line with the
- Provide Finance with relevant information for invoicing to enable the cash

Sales Administration
- Coordinate between Sales and Order Execution teams to ensure seamless
Documents Database
- Draft and save on the database templates of sales presentations,
members to retrieve them quickly when needed, allowing them to focus on
Sales
- Ensure proper recording and filing of all closed transactions
SCOPE: The job holder supports Sales at all stages of the Sales cycle from the sales
order and contract until delivery to the customer

INTERFACES
Internal : Sales team, Logistics, Manufacturing and Technical teams
External : None
KNOWLEDGE AND QUALIFICATIONS
Essential : Relevant Diploma with training on the SAP-SD module
Desirable : Training in Sales processes, order execution and administration
Job Skills: Sales administration skills, excellent communication, Ms office and Good
Knowledge of Excel.
Behavioural Competencies : Systematic approach, transparency, integrity,
professionalism, caring & supportive style, passion for excellence, change
management orientation
Experience: 1-2 years of Sales Administration in a computerized environment
preferably working on the SAP-SD module
