- Manage and maintain office schedules, including appointments, meetings, and travel arrangements with precision and flexibility
- Handle incoming phone calls, emails, and correspondence, directing them to appropriate team members in a professional and courteous manner
- Prepare, edit, and organize various documents, reports, and presentations using Microsoft Office Suite
- Assist with basic accounting and bookkeeping tasks, including processing invoices, expense reports, and financial documentation
- Organize and maintain both physical and digital filing systems to ensure easy retrieval of information and support organizational efficiency
- Coordinate office supplies inventory, analyze usage patterns, and place orders as needed to maintain optimal stock levels
- Assist in planning, organizing, and executing company events, meetings, and special initiatives
- Provide comprehensive administrative support to various departments, adapting to changing priorities and organizational needs
- Greet and assist visitors with warmth and professionalism, ensuring a welcoming office environment that reflects our organization's values
- Perform general office maintenance tasks and troubleshoot basic office equipment issues
- Support the team in achieving departmental goals through proactive problem-solving and collaborative teamwork
- Must be a UAE National (mandatory requirement)
- 1-3 years of proven experience in an administrative or office support role
- Strong organizational and time management skills with the ability to prioritize multiple tasks effectively
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general computer literacy
- Excellent verbal and written communication skills in both English and Arabic
- Exceptional attention to detail and ability to maintain accuracy in a fast-paced environment
- Basic accounting and bookkeeping knowledge with familiarity with financial documentation
- Proficiency in office equipment operation and maintenance
- Strong interpersonal and collaborative skills with the ability to work effectively with diverse teams
- Problem-solving abilities and a proactive approach to identifying solutions
- Professional demeanor, reliability, and punctuality
- Knowledge of UAE business practices, culture, and professional etiquette
- Bachelor's degree in Business Administration, Office Management, or a related field (preferred)
- Familiarity with office management software and digital communication tools (preferred)
- Ability to maintain confidentiality and handle sensitive information with discretion
